The Leasing team is hiring a Leasing Coordinator (m/f/d)
The role
This is a key administrative and coordination role supporting the Leasing Director in the day-to-day running of a dynamic leasing function within a premium retail environment.
You will play a central role in managing documentation, cross-departmental communication, and legal and financial processes that underpin the village's commercial leasing operations.
Location: This role is based on-site at Wertheim Village
Starting minimum salary: €47,950
What you'll be doing
A few of the key responsibilities in this role:
* Leasing Administration & Support — Provide comprehensive day-to-day support to the Leasing Director, including preparing negotiation sheets, information packages, Heads of Terms (internal and external), and managing leasing timelines and key dates
* Remerchandising & Pipeline Management — Consistently maintain and update all remerchandising documents including maps, plans, agendas, minutes, and pipeline call records
* Meeting & Event Coordination — Coordinate internal meetings and presentations, managing logistics such as catering, room bookings, invitations, and timing, while attending key meetings (RDT, Compliance, etc.) as required
* Legal & Financial Administration — Liaise closely with Legal regarding new documents (insurance, bank guarantees, SEPA), support budget preparation, manage monthly bank reporting, process invoices, and set up purchase orders to manage contribution payments in coordination with Finance
* CRM & Reporting — Maintain accurate and up-to-date records in Salesforce, supporting data integrity across leasing activity and financial reporting including base rent uplifts
* Cross-departmental Liaison — Act as a key point of contact across all departments, ensuring clear and timely communication to support the smooth delivery of leasing operations

* Technical Proficiency — Strong working knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint) with the ability to manage reporting and documentation to a high standard
* Languages — Fluent in German and English (written and verbal); knowledge of additional European languages is an advantage
* Desired Experience - Previous experience in a real estate, accountancy, legal, or retail environment, with a working knowledge of real estate and legal principles
