JOB SUMMARY:
The role is responsible for the effective and efficient running of the local country office in Munich and operations in Germany (Munich), Austria and Switzerland, providing full administrative support to the team, while ensuring compliant processes are established and maintained across all functions.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Office Management
* Maintains BioCryst Office in Munich (organizing IT support, facility management, lease, and other needs and supplies).
* Manages invoicing and budgeting in SAP in close partnership with Finance, Legal and the Commercial/Medical Business.
* Ensures compliant document management processes and systems, including SOP management, archiving, legal retention requirements, and promotional materials.
* Ensures all invoices including HCP and HCO invoices are processed in a compliant and timely fashion.
* Organizes team events or congress logistics for BioCryst in accordance with company travel policy.
* Works across all departments to ensure the smooth running of the office.
Human Resources
* Partners with hiring manager and regional HR in relation to hiring process across all functions including organizing local country onboarding including updating HR, Payroll and other relevant departments etc.
* Tracking holidays, sickness, leaves of absence including notifying local authorities when relevant.
* Ensures optimal health and safety standards of the office in Munich are maintained.
* Local HR point of contact for all colleagues with respect to day-to-day operational matters.
Compliance
* Creates and maintains all agreements with HCP, HCO, Patient organizations and vendors at all times ensuring 100% compliance; while ensuring all agreements are reviewed by appropriate departments and signed appropriately.
* Manages all disclosures and donations in a transparent and compliant manner.
* Comply with GDPR requirements.
Processes, Meetings and Logistics
* Manages all stages of material lifecycle through storage and destruction in a compliance and timely fashion.
* Supports field team with meetings logistics and tracking, including contacting requirements (speakers, venues, 3rd party vendors etc.), venue co-ordination and administrative support.
* Acts as a key administrative support function for the VP & General Manager DACH (Germany, Austria & Switzerland), ensuring efficient coordination of office operations, meetings, and schedules.
* Other duties as assigned.
EXPERIENCE & QUALIFICATIONS:
* Bachelor’s degree or equivalent, ideally in science or business .
* Fluent German communication skills, both written and verbal.
* Very good English proficiency.
* Preferred: At least 5 years of experience in a similar role within the pharma/biotech/healthcare industry.
* Highly proactive and well-organised individual with a strong ability to work independently, prioritize effectively, and deliver under tight deadlines in a fast-paced, collaborative environment. Naturally curious and hungry to learn and grow on the job, while immediately contributing to country success.
* Fully proficient in MS office including Outlook, Word, Excel, Powerpoint, Teams.
* Solid financial understanding combined with SAP expertise would be highly beneficial for this role.
* Displays flexibility and willingness to contribute in a variety of areas across the pharmaceutical business.
* Strong international communication skills and the ability to build collaborative relationships across functions, countries, and cultures are highly valued.
* The position follows a hybrid working approach, combining flexibility for remote work with regular on-site collaboration and office presence 2–3 days per week in Munich.
