🚀 We’re hiring: Office Manager / Administrative Assistant — 32 hours per week, 4-day week
Olive Robotics GmbH is growing, and we are looking for a reliable, structured, and hands-on Office Manager / Administrative Assistant to support our team in Ottobrunn, Germany.
This is an important role at the heart of our daily operations. We are looking for someone who enjoys bringing structure, clarity, and good energy into a fast-moving startup environment — someone who takes ownership of the office and helps the whole team work better.
The position is planned as a 4-day week with 32 hours per week, ideally Monday to Thursday. Friday is usually off, with some flexibility when important office, logistics, or team topics require support.
Your responsibilities will include:
• Managing and organizing the office area and daily office operations
• Supporting administrative and assistant tasks for the management team
• Coordinating appointments, meetings, calendars, and internal communication
• Preparing documents, letters, forms, and basic reports
• Supporting bookkeeping tasks, invoice preparation, payment follow-ups, and document collection
• Handling incoming and outgoing shipments, packages, and deliveries
• Tracking orders, payments, shipments, received goods, and related documentation
• Receiving packages and adding relevant information to our internal system
• Supporting purchasing, office supplies, consumables, and supplier coordination
• Communicating with service providers, partners, suppliers, visitors, and team members
• Keeping files, folders, documents, and office processes well structured
• Helping maintain a clean, organized, and welcoming office environment, including the kitchen and meeting room
• Supporting the team with practical day-to-day operational needs
What we are looking for:
• Strong organizational skills and attention to detail
• A proactive, reliable, and hands-on working style
• Friendly and professional communication
• A positive attitude toward both administrative and practical office tasks
• Someone who takes ownership and notices what needs to be done
• Ability to work independently and keep things moving
• Good German and English communication skills
• Confidence using common office tools such as MS Office, Google Workspace, or similar
• Experience in office management, administration, assistance, bookkeeping support, logistics, purchasing, or operations is a plus
