About the Job
The role involves leading and developing the Customer Service team, ensuring effective management and execution of all team responsibilities. This includes overseeing the accurate recording of orders, processing, and monitoring of the order book, as well as handling operational customer enquiries related to existing orders.
In this role, you will be responsible for managing and controlling customer portals (such as SupplyOn) and adhering to customer-specific requirements.
A key focus is on proactive communication with customers to resolve delivery issues or bottlenecks, while coordinating internally with relevant departments. You will also identify and implement improvement measures and take initiative to ensure a consistently positive customer experience.
Your Key Responsibilities
* Understanding, knowing and controlling customer accounts and customer-specific requirements
* Creation and dispatch of order confirmations to customers
* Building a good operational relationship with the customer by proactively informing and contacting the customer
* Proactive coordination with the Supply Chain Planner, Sales and S&OP Management in order to be able to make forecasts about delivery bottlenecks or other delivery issues affecting the customer
* Proactive communication to the customer in the event of delivery bottlenecks and delivery problems, clarification of measures with the customer and coordination of communication with the internal departments involved in order to provide the customer with up-to-date information and to solve the problems in the best possible way in the interests of the customer
* Setting priorities for resource bottlenecks
* Derivation of improvement measures and "lessons learnt" after successful problem handling in order to achieve continuous further development of customer service
* Answering general enquiries about existing orders
* Management of customer security inventories and maintenance of customer portals
* Support of the finance department in the creation of credit/debit notes from delivery issues and support of receivables management through proactive communication of blocked deliveries to the customer
* Support with complaints and internal processing of customer concerns
* Observance of compliance rules for customer deliveries with regard to declarations and authorizations
* Registration of deliveries in customer portals and registration of special trips
* Promotion and optimization of key sales and delivery figures and customer KPI
About you / your experience
* At least three years of successfully completed vocational training in a specialized occupation such as industrial clerk;
* Company-specific additional qualification or several years of specialized professional experience in a relevant field, e.g. sales or customer service
* First management experience an advantage
* Excellent written and verbal communication skills at all levels of the organization (internal and external)
* Good MS Office skills, especially Excel, and experience with the ERP system; preferably SAP
* Business fluent in German and English, other languages are an advantage
