Intro Join the Bank of Communications Frankfurt Branch as an Administrative Assistant, where you'll become an integral part of one of China's leading financial institutions. Founded in 2007, our Frankfurt branch serves as a vital connection for trade between China and Europe. With a global presence spanning over 2,900 branches, including key locations in Hong Kong, New York, Tokyo, Singapore, Seoul, and Macau, we offer a dynamic environment for professional growth. As an Administrative Assistant, you will work within our Business Administration Department, collaborating with a diverse team of approximately 40 Chinese and German professionals. This position offers a unique opportunity to apply your skills in a thriving, multicultural banking environment. Tasks External Liaison & Reception Management Liaise with relevant external departments and oversee reception duties, including welcoming visitors, managing internal guest reception, handling professional telephone communications, and addressing general inquiries with efficiency and courtesy. Information Management & Documentation Collect and consolidate key information; maintain and organize corporate archives; manage documentation processes including drafting, formatting, dispatching, receiving, and filing official documents and internal communications. Administrative Support & Procurement Oversight Assist in the coordination of office supply procurement; manage inventory levels; track administrative expenses and ensure alignment with budgetary guidelines. Workplace Order & Operational Maintenance Maintain daily office operations and ensure a professional working environment; assist in routine inspections and contribute to the enforcement of internal standards and operational discipline. Meeting Planning & Coordination Coordinate all aspects of internal meetings, including agenda preparation, logistical setup, minute-taking, and post-meeting content consolidation and distribution. Human Resources & Culture Initiatives Support human resources functions such as candidate reception, interview coordination, training session logistics, and onboarding activities; contribute to the organization of corporate events, employee engagement programs, and team-building initiatives to enhance company culture. Requirements Bachelor's or postgraduate degree in education, law, secretarial, German, English, human resources or other related field; Proficient in English, Chinese and German are preferred; Familiar with written correspondence and proficient in the use of various office software; Hard working, communicative, strong learning ability and healthy; Experience in the same industry or internship, strong writing skills are preferred.
