Executive Support Professional
The role holder provides support to the General Manager Benelux with daily operations of the Luxembourg office, ensuring smooth execution of priorities and efficiency. This enables the GM to focus on key initiatives and business strategies.
In close collaboration with the GM, the role holder will provide delivery support for the Luxembourg office, acting as a trusted advisor to ensure decisions are well-informed and thoroughly prepared. They drive alignment with the firm's strategic ambitions, assist with Partnership Management, and monitor implementation of decisions.
The role includes preparing communications, initiating follow-up, coordinating meetings, taking minutes, and following up on action items. It requires analyzing information from various sources, collaborating with stakeholders, and developing strong relationships throughout the firm.
Key Responsibilities:
* Scheduling and organizing meetings, including preparation and follow-up
* Preparing meetings and agendas, conducting research, and collating information
* Participating in meetings, producing minutes/action plans, and following up on action items
Operational Governance:
* Monitoring office compliance with Partnership Agreement rules and internal policies
* Providing advice on corporate governance issues and best practices
* Assisting in developing and implementing company policies and procedures
* Maintaining and updating company records, coordinating procurement activities, and supporting due diligence
Partner and World Firm Issues:
* Drafting guidance for new Partners, assisting with partner retirements, and monitoring World Firm issues
* Providing information upon request, documenting amendments to the Luxembourg Partnership Agreement
* Preparation of draft contracts and correspondence in connection with partner entry and departure
Strategy and Business Planning:
* Collaborating with departments to supply information, meet deadlines, and execute the office planning and control cycle
* Liaising between the GM, board, managers, and following up on the implementation of the firm's strategy
Internal Communication:
* Preparing communications, including business and action plans
* Responsible for communication regarding Partner meetings, updates to Partners and/or OMP, and internal communication for the Luxembourg office
