Description In a dynamic, international environment, SYNLAB supports executives in making the right decisions every day and driving complex projects forward. As an Executive Assistant to Group COO (m/f/d), you will be a key liaison within the international management team, contributing significantly to smooth operations at the executive level with your strong organizational skills, proactive approach, and professionalism. You will coordinate meetings, travel, and events, maintain a clear overview even in demanding daily operations, and act as a reliable point of contact for internal and external stakeholders. In this role, you will work closely with the Executive Committee and international subsidiaries, making a vital contribution to effective collaboration within SYNLAB International. Responsibilities Executive & Board Support: Organization, preparation, and follow-up of board meetings (virtual & in-person), especially COO board meetings, including agenda creation, participant management, and minutes. Meeting & Committee Management: Coordination of internal meetings for teams, COOs, and junior staff formats, as well as external meetings with suppliers, consultants, shareholders, and steering committees. Stakeholder & Interface Management: Close coordination with Project leads, international subsidiaries, and HR (including SYNLAB Dialogue, follow-ups, and portal updates). Travel & Agenda Management: Comprehensive travel organization, including agenda planning, booking flights, hotels, rental cars, e-visas, and travel documents for the COO. Event Management: Planning and organization of internal events such as team building days, regular team catch-ups to support SYNLAB Dialogue initiative. Invoicing & Expense Management: Administration, review, and reconciliation of invoices, credit card statements, and travel expense reports. Administrative Coordination: Vacation management, fleet management, on-site support and cover for absences and vacations within the support team. Ad-hoc & ExCom Support: Flexible support for short-notice organizational requests, travel bookings, events, and support for other ExCom members. Qualifications Professional Experience: Several years of experience as an Executive Assistant, Management Assistant, or Team Assistant, ideally in an international corporate environment Organizational Skills: Strong organizational and prioritization skills, as well as a high degree of structure and reliability Communication Skills: Excellent written and verbal communication skills and a confident demeanor when interacting with internal and external stakeholders Language Skills: Excellent written and spoken English; German is an advantage IT & Systems Skills: Proficient in MS Office; ideally, experience with SAP and digital HR and travel tools Work Style: Structured, proactive, and discreet work style with a high degree of personal responsibility Personal Qualities: Strong service orientation, flexibility, and a pronounced team spirit Resilience & Composure: Professional handling of confidential information and the ability to maintain composure even in a dynamic environment
