THE COMPANY

As Mermec Deutschland GmbH, the German subsidiary of Compagnie des Signaux in France, part of the MERMEC Group, whichoperates worldwide, MERMEC Deutschland works closely with international teams and contributes to cross-border railway signalling and digitalisation projects, particularly within the DACH region.



What we are looking for

As a Document Controller / Project Assistant (f/m/d), you are responsible for the effective administration of project documentation and providing comprehensive support to the project team throughout the entire project lifecycle. You will work in a dynamic infrastructure project environment, Very good knowlegde of English and fluency in German language are essential for this position.


Responsibilities

* Manage and control all project documentation using established codification, versioning, and formatting principles
* Manage the projects documentation lists and documentation planning
* Structure the product and documentation breakdown with the support of the team and create and maintain the structure within the documentation management tools such as TeamCenter, SharePoint, EPLASS and others
* Ensure the correct structure, the account managing, the documentation lifecycle withing the documentation management tools such as TeamCenter, SharePoint, EPLASS and others
* Develop, adapt, and implement document codification systems and control processes for consistency and traceability
* Ensure quality control of all design and project documentation before delivery to clients and stakeholders
* Develop and maintain document control processes for the efficient management and recording of all project related documentation
* Support the documentation lifecycle to smooth the formal documentation release
* Prepare, maintain, and ensure consistent usage of document templates, such as reports, meeting minutes, and presentations
* Handle, record, receipt, update, and archive incoming and outgoing documents and communications, including emails, calls, and meeting notes
* Manage distribution, storage, and compliance of internal and contractor documents
* Support the Documentation Baselines identification, creation and update within the Configuration Management processes and rules
* Accurately take minutes and notes during meetings and coordinate meeting arrangements
* Assist the project team with data codification and document management throughout the project lifecycle
* Provide efficient project-related support across various phases
* Respond to official enquiries and collaborate closely with the project team, working independently when needed
* Manage the needed documentation translation by leveraging on needed suppliers or available tools (mostly among German, English and Italian)
* Handle multiple tasks while meeting deadlines


Your Profile

* B.Sc. or M.Sc. degree in Business Administration or related field.
* Minimum of 3 years experience in document administration, preferably within infrastructure projects.
* Proven experience with Project Information Management Systems, MS SharePoint, ProjectWise, Aconex, or similar software.
* Experience in codification principles for documents
* Understanding and experience with reading and understanding technical drawings of advantage
* Comprehensive knowledge of Microsoft Office applications.
* Strong written and verbal communication skills in both English and German (native or fluent proficiency required).
* Highly organized, detail-oriented, and skilled in problem-solving.
* Demonstrated ability to work independently as well as within a team environment.
* Innovative thinking and a proactive attitude.
* Experience in managing responsibility and delivering high-quality project support.
