Your mission
We are looking for a detail-oriented Back Office Specialist to support our finance and recruiting operations. You’ll play a critical role in managing day-to-day financial processes, maintaining candidate pipelines, and supporting quarterly reporting. This position reports directly to the Managing Directors and provides essential insights into the company’s financial and operational performance.
Key Responsibilities
1. Payroll, Accounting & Finance
* Support the monthly payslip process by gathering and verifying payroll data
* Track and process employee hours, leave, and salary adjustments
* Issue invoices and monitor Accounts Receivable (AR)
* Follow up on outstanding payments and ensure timely collections
* Manage Accounts Payable (AP) and ensure all expenses are recorded and paid on time
* Perform bank reconciliations and maintain accurate financial records
* Track cash flow and report variances or concerns to management
* Assist in preparing quarterly financial reports for internal and strategic use
* Recruiting Coordination
* Manage the recruitment workflow from job posting to onboarding
* Invite candidates, schedule interviews, and coordinate feedback with hiring managers
* Keep recruitment data and documentation up to date
2. Administrative Support
* Organize and maintain back-office records and internal databases
* Perform basic updates or queries in systems (e.g., MySQL – a plus)
* Assist in compiling reports and documents for HR, finance, and leadership
Your profile
Requirements
* Experience in back-office, payroll, AP/AR, or accounting support
* Understanding of cash flow management and financial process tracking
* Strong organizational skills and attention to detail
* Comfortable with administrative tools and remote workflows
* Fluent in English (written and spoken)
Pluses
* German language skills
* Based in or near Berlin
* Familiarity with MySQL or similar tools for internal data access
* Experience with software like DATEV, Netsuite, Lexware, or Personio
