We are seeking a detail-oriented and organized individual to join our facilities management team in a role that combines varied responsibilities with a strong focus on security, reception, and supplier relationships.
* Facilities Support:
o Space Management: Ensure the proper functioning and maintenance of workspaces (offices, meeting rooms, common areas). This includes managing space allocations, coordinating moves, and ensuring compliance with company policies.
o Environment Security: Monitor and manage security procedures, including access control systems, surveillance cameras, and alarm systems. You will also be responsible for managing company badges and ensuring that all employees have the necessary clearance to access restricted areas.
o Supplier Relations: Manage relationships with external service providers, including vendors, contractors, and suppliers. This involves negotiating contracts, managing invoices, and ensuring timely delivery of services.
o Maintenance and Repairs: Oversee and maintain technical equipment, including printers, copiers, and other office machinery. You will also be responsible for handling repair or replacement requests in a timely manner.
* Reception and Phone System Management:
o Phone System Administration: Handle incoming and outgoing calls, address requests professionally, and ensure that all messages are relayed promptly to the relevant personnel.
o Visitor Reception: Greet visitors, ensure a courteous reception service, and manage the sign-in process.
o Meeting Room Coordination: Plan and organize meeting room bookings, prepare rooms, and ensure that all necessary amenities are available.
o Administrative Support: Provide administrative support related to these functions, including data entry, record-keeping, and reporting.
