About the position: As Operation Coordinator at Mindspace, you will play a key role in supporting smooth daily operations and overall facility upkeep across locations. Reporting directly to the Senior Operations Manager, you will own critical aspects such as procurement, vendor coordination, facility maintenance, and service quality, enabling our members to focus on their best work. Tasks Support building operations, scheduled and ad hoc maintenance, and overall facility upkeep at Mindspace. Perform daily floor walks to ensure all areas meet Mindspace standards (cleanliness, safety, functionality). Act as the main operational contact for peers and leadership at your locations. Manage payments, suppliers, procurement processes, and track monthly procurement needs for supplies and services. Maintain and update inventory levels in coordination with the on-site team. Coordinate deliveries, logistics, and setups for furniture and equipment. Be on top of logistical office needs and orders. Oversee and take responsibility for the external cleaning team and cleaning vendor performance. Oversee on-site handyman work and support preventive and ad-hoc maintenance efforts, working with external providers. Monitor and follow up on internal ticketing system requests (e.g., maintenance, vendor tasks). Maintain transparent communication with internal stakeholders and support the Senior Operations Manager in cross-location tasks. Proactively identify potential issues on-site and escalate to Senior Operations Manager when appropriate, while documenting incidents and following up on resolution. Experience & Minimum Qualifications: 3 years of administrative and operational experience (facility operations, workplace services, technical procurement, hospitality, or logistics preferred). Excellent verbal and written communication skills in both German (min. C2 for original tasks, at least B2 considered) and English. Customer service experience is an advantage. Proficiency in Microsoft Office and other basic computer tools. Comfortable using digital tools such as ticketing systems, inventory trackers, and procurement platforms.
