This role requires exceptional attention to detail, strong interpersonal skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will act as a trusted partner, ensuring smooth day-to-day operations and enabling the VP to focus on strategic initiatives.How You’ll Make an Impact
4. Anticipating scheduling needs and managing complex calendars with a deep understanding of organizational priorities, as well as coordinating internal and external meetings ensuring alignment with business objectives
5. Organizing domestic and international travel including itineraries, accommodations, and logistics
6. Building and maintaining strong relationships across the company to facilitate communication and collaboration, as well as serving as a liaison between the VP and key stakeholders
7. Preparing and reconciling travel expense reports accurately and promptly
8. Handling confidential information with discretion, as well as preparing presentations, reports, and correspondence as needed, and supporting event planning for leadership meetings and sales conferences
9. Monitoring and prioritizing incoming requests, ensuring timely follow-up, and assisting with special projects and initiatives as directed by the VP
What You Bring
10. Proven experience as an Executive Assistant or similar role supporting senior leadership
11. Strong organizational and time-management skills with the ability to manage competing priorities
12. Excellent communication skills (written and verbal) English and German are minimum requirements
13. Strong proficiency in Microsoft Office Suite and experience with digital collaboration platforms such as Teams and SharePoint, as well as familiarity with tools including Concur, BCD, HRS, BTAT, CIBT Visa, SATO, and ARIBA
14. High level of professionalism, discretion, and integrity, as well as the ability to work independently and as part of a team in a dynamic environment
15. Experience in a global or matrix organization and knowledge of sales processes and terminology are a plus
