ACCOUNTABILITIES/RESPONSIBILITIES: The incumbent, reporting to the Head of Business Operations, is expected to: As part of the People Team, take care of all matters related to visa, health insurance, and mobility of our team members: Provide end-to-end support in the arrangement for visas and ID cards with the local and international German immigration authorities for Munich-based team members, and visitors (as applicable): internal and external administration of all relevant documents (e.g. visa and employment letters, visa application documents, etc.). Ensure the strengthening of relations with WFP stakeholders, other relevant United Nations agencies and local government offices; liaise with the German Ministry of Foreign Affairs and the Immigration Office on issuance of appropriate ID cards or permits of stay for WFP team members and their dependents (as applicable). Liaise with relevant health insurance service providers to ensure adherence to local and WFP policies (as applicable), as they may change from time to time. Draft harmonized approaches and guidelines for the Munich office team members. Brief team members and visitors (as applicable) on all up-to-date policies and procedures regarding local immigration and health insurance policies and procedures. Carry out data analysis and reporting to provide management with accurate information and reports for efficient planning and decision-making. Drive forward project work in the area of relocation guidance and recommendations. As part of the People Team, contribute to core Accelerator talent activities: When needed, manage the full-cycle recruitment process, from sourcing and interviewing to onboarding, successfully scaling the teams, and ensuring the best-fit hires while maintaining a focus on diversity and inclusion. Support the innovation accelerator build-up, operations & management: Collate information and provide analysis & content preparation (PowerPoint presentations, reports, briefs, etc.) for corporate priority topics and executive management meetings. Liaise with colleagues in other Headquarters’ divisions (mainly HR and Protocol unit) or external stakeholders as needed, with guidance from the manager. Support other HR processes as required, such as the maintenance of various lists and databases or scheduling of interviews. Support core processes of the Innovation Accelerator (e.g. innovation challenge; innovation boot camps; sprint programme; thought leadership; scale-up enablement) as required. Support the Head of the Innovation Accelerator and the Innovation Division, Director with any other activities as required. DELIVERABLES AT THE END OF THE CONTRACT: People Team activities and processes well documented and executed; Effective support of business operations of the Innovation Accelerator. QUALIFICATIONS & EXPERIENCE REQUIRED: Education: Bachelor’s degree, Master’s degree a plus. Experience: At least 3 years of post-graduate professional experience in Human Resources or related fields, ideally in protocol or working with Government Authorities. Knowledge & Skills: Experience in a large organization (public or private sector). Experience within an assignment department of a company and in the handling of international assignments is desirable. Knowledge of the general privileges and immunities policies and practices at the local level is desirable. Strong ability to maintain confidentiality in all dealings. Self-driven and very strong organizational and planning skills. Able to interact with a broad range of stakeholders and external audiences with maturity and tact. Excellent communication/presentation skills, with the ability to write best practice documents, to develop project plans and to write and deliver presentations. Collaborative spirit, able to partner with a wide range of people at all levels and across different cultures and to act with credibility and diplomacy. Self-motivated and able to work with a high degree of autonomy. Sets a high-level of ambition for the project and own work to achieve impact for the hungry people we serve. Fully committed and motivated to achieve the aims of the UN World Food Programme. Languages: Fluency in oral and written English is required. Intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian, and Spanish) or Portuguese (one of WFP’s working languages) is beneficial.
