Role Description
This is a full-time role based at our CornerstoneONE office in Munich, Germany, with flexibility for international travel. The Facility & Property Manager will be fully integrated into the local Munich team while aligning day-to-day operations with our global international structure. Reporting directly to the CEO, the successful candidate will manage multiple office sites simultaneously, balancing operational precision, financial oversight, and contract administration. This role is designed for a proactive professional capable of building, structuring, and scaling property and facility management processes from scratch in a dynamic startup environment.
Key Responsibilities
Facility Management
* Coordinate facility management activities across CornerstoneONE’s office locations to ensure service continuity and workplace functionality.
* Supervise ordinary maintenance activities, including scheduling, follow-up, and quality control.
* Manage and renew contracts with local service providers, including SLA negotiation and monitoring.
* Implement, administer, and continuously optimize the Yardi CMMS platform for ticketing and maintenance workflows.
* Conduct regular office inspections to identify technical issues, operational risks, and optimization opportunities.
* Train, mentor, and guide local teams across all sites to ensure consistent operational standards and health & safety compliance.
Property Administration & Financial Management
* Monitor OPEX budgets, control costs, and prepare annual budget forecasts to ensure cost transparency across all assigned locations.
* Verify, approve, and process property-related invoices and reconcile service charge statements in close collaboration with the Finance and Accounting team.
* Manage and renew lease agreements in coordination with Legal and external stakeholders.
* Participate in condominium meetings and coordinate required follow-up actions with landlords and property administrators.
Support & Collaboration
* Maintain close coordination with internal departments including Architects, Legal, HR, and Finance.
* Coordinate local operational teams, including activity planning, attendance monitoring, and leave management.
* Prepare documents, reports, presentations, and management summaries directly for the CEO.
Minimum Qualifications
* Education: Degree in Facility Management, Architecture, Civil Engineering, Real Estate Management, Business Administration, or a related field. Professional certifications (e.g., IFMA CFM) are a plus.
* Experience: 5–10 years of experience in property and/or facility management, preferably within international office environments, with hands-on experience in budget control, service charge reconciliation, and supplier management.
* Software: Experience with CAFM/CMMS platforms (ideally Yardi Voyager/FM), digital ticketing systems, and proficiency in MS Office (Word, Excel, PowerPoint).
* Languages: Fluent in English at an advanced level (C1). German language skills are strongly preferred; any additional European language is a strong advantage.
* Traits: A proactive, structured, and highly reliable professional with a problem-solving mindset, a strong sense of ownership, and the ability to build efficient processes from scratch.
