OlamAid e.V. is an international aid organisation, dedicated to responding to the evolving needs of crisis and conflict-affected populations. Our mission is to support communities as they transition from crisis to recovery, rehabilitation, and sustainable living. One of our main focuses is vulnerable groups and minorities among the affected population.
Tasks
1. Project Control
* Programmatic Control- Manage and oversee the project lifecycle, from planning through implementation to reporting, ensuring each phase meets project goals and standards or, in case the project is (also) implemented through partners, monitor the partners in this regard.
* Budget Control- In collaboration with the Finance Department and with their support, monitor project budgets, ensuring expenditures align with financial guidelines and reporting requirements or, in case the project is (also) implemented through partners, monitor the partners in this regard
* Technical capacities- In collaboration with the Professional Department, maintain basic technical knowledge of the aid methods used within the project, to enhance the quality of work and strengthen evaluation. Being a first point of contact for the project team on general technical issues and a liaison point between them and the Professional Department according to the needs.
* Taking active part in project activities- As per to the need and to the guidance of the Head of Programs, take part in creating, participating and coordinating project activities.
2. Facilitate Coordination
* Team Coordination- Coordinate a project team in a manner that enhances motivation and feeling of fulfilment, and advocate for a collaborative, solutions-focused atmosphere where challenges are seen as opportunities for growth. Show personal example as a role model and be on the side of the persons you are Coordinating.
* Respectful Work Environment- Foster a respectful work environment also and especially in challenging or sensitive situations.
* Flexibility & Empowerment- Model adaptability and empower team members to take initiative, encouraging innovative thinking and resilience.
* Values Alignment- Uphold and incorporate the core values of the organisation into daily project work, ensuring team members understand and are inspired by these values.
3. Networking & Partnerships
* Professional & Institutional Connections- Build and maintain relationships with key stakeholders, including donors, local and international NGOs, UN agencies, government agencies, and other actors relevant for the project.
* Representation: Ensure appropriate representation of OlamAid in relevant events, coordination and professional bodies, NGO networks, workshops, etc.
* Partnerships: Identify possible new or additional partnerships for OlamAid in Ukraine and Germany.
4. Strategy and Development
* Country Strategy: Iin coordination with the relevant departments and the senior management, develop an OlamAid country strategy for Ukraine.
* Project and Programme Development: identify new or additional areas of engagement for OlamAid in line with its mandate, the country (or regional) strategy, and the needs in Ukraine, in collaboration with the development department, initiate project and/or programme development accordingly.
* Funding Opportunities- Identify potential funding sources within the project’s geographic and thematic area and collaborate with the Development Department to acquire fund sources.
5. Visibility
* Visibility: Ensure appropriate visibility of OlamAid, its mandate and its programmes and projects in Ukraaine, including, in coordination with the Development Department, the preparation of social media content and other relevant communication materials
Requirements
* Academic degree in international development, humanitarian Studies, or a related field; Master’s degree preferred.
* Minimum 3 years of experience in project coordination or management in the humanitarian, peacebuilding and/or development sector, preferably including project coordination or management with implementing partners.
* Proven understanding of project management cycles, budgeting, and basic technical methods for aid delivery.
* Experience in team coordination with a focus on fostering positive and collaborative environments.
* Ability to travel often to project locations in Ukraine and every few months to the HQ in Berlin Germany
* Strong representation, networking and partnership development skills and proven successful experience in raising donor funding.
* Strong entrepreneurial skills, and a proven ability to identify opportunities to address needs of vulnerable people in innovative and impactful ways.
* Strong network amongst donors, government actors, national and international NGOs, civil society and UN agencies.
* Excellent understanding of the local context in Ukraine and the situation of vulnerable groups and their needs.
* Strong verbal and written communication skills.
* Ability to work independently and a proven results-oriented attitude and approach.
* Native-level Ukrainian and excellent English. German as advantage.
