We are looking for a detail-oriented and proactive Finance Reporting Officer to join our warehouse operations team. In this role, you will play a key part in managing billing processes, supporting site administration, and ensuring smooth day-to-day coordination between finance, suppliers, and site management. This position is ideal for someone who thrives in a structured environment and enjoys combining financial accuracy with operational support.
Key Responsibilities
Client Billing & Financial Coordination
1. Manage and organize internal billing processes
2. Accurately enter and maintain billing data
3. Prepare and send invoices to clients
4. Investigate and resolve client invoice disputes
5. Process credit notes in a timely manner
6. Act as a liaison between suppliers and the accounting team
7. Ensure consistent follow-up on outstanding billing matters
Site Administration
8. Coordinate meetings, including logistics and room bookings
9. Organize and support client visits
General Services
10. Order and manage office supplies
11. Oversee and maintain phone line services
Site Operations Support
12. Welcome and assist suppliers on-site
13. Prepare and issue site purchase orders
What We Are Looking For
14. Previous experience in a similar role within a large organization
15. Strong communication and interpersonal skills
16. Excellent organizational abilities with a keen eye for detail
17. A proactive mindset with the ability to take ownership of tasks
18. Ability to stay calm and effective under pressure
19. Familiarity with SAP is an advantage
20. Good command of German and English
