Your Role:
* Schedule meetings and conference calls across multiple time zones, ensuring seamless communication with global clients.
* Organize internal and external meetings, venues, and required documents, maintaining meticulous records and adherence to firm standards.
* Manage internal and external communication related to client portfolios, including email correspondence and phone calls.
* Maintain accurate and up-to-date records with electronic and hard copies, filing documents according to applicable conventions.
* Ensure allocated portfolios comply with firm rules and standards, collaborating with relevant teams as needed.
* Update CRM database regularly, guaranteeing timely and accurate information.
* Handle basic correspondence between lawyers, courts, and experts, exercising discretion and professionalism.
* Verify file parameters and data in the billing system are correct and current.
* Filing documents in compliance with applicable conventions using specialized software.
Your Profile:
* Degree in Office Management or International Administrative Management, demonstrating a strong foundation in administrative principles.
* Exceptional time management, multitasking, and prioritization skills, enabling you to handle multiple tasks simultaneously.
* First professional experience as an assistant in an international environment, preferably in the legal, advisory, or financial sector, showcasing adaptability and cultural awareness.
* Fluency in English, and either written and spoken German or French (native speaker level), facilitating effective communication with diverse clients.
* High proficiency in MS Office, enhancing productivity and efficiency.
* Service-oriented mindset with attention to detail and problem-solving skills, ensuring excellent customer satisfaction.
* Able to work autonomously and as part of a team, embracing collaboration and mutual support.
