The Senior Executive Assistant provides support to two individuals, the Head of Citi Commercial Bank Germany and to the Head of Citi Commercial Bank Switzerland. Support may also selectively provided to other individuals or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.
Responsibilities:
1. Directly supports multiple managers and generally supports an entire department
2. Manages day to day calendars of senior management
3. Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
4. Manages and coordinates SharePoint content and information dissemination for the team
5. May prepare and review materials and correspondence for meetings
6. Assists with creation/modification of presentations, spreadsheets, and other documents
7. Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
8. Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
9. Supports and coordinates event planning processes for the department
10. Orders supplies and process invoices through Procure to Pay system
11. Process and follow-up on Virtual Requests
12. Assists in ad-hoc reports special projects as needed
13. Trains, coaches or guides other administrative staff when required
14. Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
Qualifications:
15. Previous office administration experience preferably within a large and complex financial services or similar organization
16. Highly proficient in Microsoft Office
17. Consistently demonstrates clear and concise written and verbal communication skills
18. Demonstrated ability to quickly gain command of new systems
19. Self-motivated and detail oriented
20. Fluency in English and German language is a must; French language skills are beneficial

21. Bachelor's/University degree or equivalent experience
