Key responsibilities include:Managing executive calendars, scheduling meetings, and coordinating appointments across multiple teams and stakeholders.Preparing and organizing materials for meetings, presentations, and reports.Coordinating domestic and international travel arrangements, including flights, accommodations, and itineraries.Acting as the first point of contact for internal and external communications on behalf of executives.Drafting, reviewing, and editing correspondence, reports, and presentations with accuracy and professionalism.Maintaining confidential files, records, and sensitive information securely.Tracking and following up on key priorities, deadlines, and action items for executives.Coordinating with other departments to ensure smooth execution of projects and initiatives.Assisting with budget tracking, expense reports, and other financial administrative tasks.Supporting ad hoc projects, events, and special initiatives as required by senior leadership.This role demands a balance of administrative efficiency, organizational skills, and interpersonal acumen to facilitate executive effectiveness and decision-making.QualificationsBachelor's degree in Business Administration, Management, Communications, or a related field preferred.Proven experience as an Executive Assistant, Personal Assistant, or in a comparable administrative role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools such as Teams or Zoom.Strong organizational, time management, and multitasking skills.Excellent written and verbal communication abilities.High level of discretion and integrity when handling confidential information.Ability to anticipate needs, prioritize tasks, and work independently with minimal supervision.Attention to detail and commitment to delivering high-quality work consistently.Experience coordinating complex travel arrangements and managing expense reports is a plus.Professional demeanor and ability to interact effectively with executives, staff, and external stakeholders.
