Job Purpose Ensuring the delivery of a high quality, SABIS® education that helps all students achieve their full potential by fulfilling roles and responsibilities related to training and mentorship, meetings and communication, administrative planning, academic administration, and general administration. By fulfilling these responsibilities, the Academic Quality Coordinator plays a crucial role in maintaining and enhancing the academic standards and reputation of the school, ensuring that students receive a high-quality education that prepares them for success.
Key Responsibilities:
Ensure that SABIS® Educational System is applied and departmental practices comply with the school’s accreditation standards and the school policies
Implement and manage approved quality assurance processes and procedures to monitor the correct and consistent application of the SABIS® program
Lead approved continuous improvement initiatives to enhance academic quality, including the collection and analysis of data on teaching and learning outcomes
Report to school one week prior to the start of the New Staff Orientation
Report to school one week after the last day of school
Act as role model for all teachers and students
Contribute to the planning and implementation of the training/orientation agenda for new and returning teachers/academic staff at the start of each school year
Oversee the development and implementation of a training plan for teachers/academic staff who join the school after the school year starts
Conduct drop-in, informal, and formal teacher observations. All formal observations must use the Classroom Observation Form and include a post-observation meeting at which the observation is discussed in order to provide constructive feedback and support for professional growth. One copy of the completed, duly-signed Classroom Observation Form must be submitted to HR; one copy is provided to the teacher. New teachers are to have one formal observation within the first 4 weeks of the school year
Conduct semi-annual HOD/YGL performance review (December and April)
Work with Deputy Director/HR to develop Performance Improvement Plans (PIP) for underperforming faculty and staff
Provide ongoing mentorship and support for faculty and staff
Provide faculty with necessary resources and support to improve instructional practices and student engagement/performance
Create and distribute a Weekly Update via the SABIS® Parent App and SABIS® Digital Platform. Standard content of update to be agreed upon with the School Director/Deputy Director.
Meet weekly with Heads of Department/Year Group Leaders (HOD/YGL). Set agenda, lead, and minute the weekly meeting. Submit agenda and minutes to the School Director upon requested
Meet with and train Homeroom teachers prior to the start of the school year and as needed throughout the school year
Plan and act as host and main speaker at parent meetings associated with the start of a new school year, grade level transition meetings, course selection, and events throughout the school year
Participate in weekly AQC meeting with the Deputy Director
Participate in Senior Leadership Team meeting as requested
Meet with the School Director/Deputy Director, as requested
Assist the School Director/Deputy Director in communicating designated information to teacher/academic staff
Suggest agenda items for school staff meetings to the School Director/Deputy Director
Communicate any change requests or errors in SABIS® exams identified by the HODs within their department and submit them to the SABIS® Regional Center
Meet with parents to discuss academic, behavioral, and/or attendance issues as needed or as requested. Involve relevant individuals in these meetings as needed (HOD/YGL/Teachers should be involved in AQC meetings with parents only when necessary)
Oversee the organization of student assemblies each term; emcee the assemblies
Maintain an open-door policy. If necessary due to frequency of meetings and availability, identify and post daily office hours
Collaborate with the School Director/Deputy Director to identify the number of sections to be offered
Assist with the school leadership’s efforts to identify, recruit, and retain highly qualified employees
Confirm annual timetable conditions for all courses and identify teachers subject/grade level strengths. Teachers’ ultimate assignments will be determined within the constraints of the timetable.
Finalize student timetables
Coordinate with other AQCs to assign teacher workrooms and allocate space/storage for each teacher
Coordinate the planning of Parent-Teacher conferences with the Deputy Director other AQCs
Oversee the preparation of homerooms ahead of the first day of school and on Open House days
Review seating charts to ensure that every group of four includes a Subject and Group Prefect
Finalize student placement in sections/class lists by the ISF Welcome Day. (No student section can be changed without sound academic reasons. Parent requests will not be honored.)
Inspect classrooms, corridors, and play areas
Label cafeteria tables and line-up points on playground (Primary only)
Create Homework Timetable
Create/sign off on Periodic Exam Timetable
Facilitate the first day for all new students, regardless of when they start
Share feedback on the Employee Handbook with HR
G11/12 AQC ONLY: Lead Graduation Planning Committee including setting agenda, keeping minutes, and keeping the School Director informed
Provide remote support for Admissions during school vacation periods, including summer vacation
Oversee the final placement of new students (HS: Ensure credit count and course selection have been done for any student entering Grade 10 and above)
Schedule and conduct placement (diagnostic) testing for prospective students (PS/KG and Primary AQC Only)
Participate in Admissions’ Open Houses as requested
Participate in Admissions & Marketing planning and events as requested
Meet with prospective parents to answer admissions-related questions, as requested
Promote the SABIS® Educational System as well as all external exam programs offered at the school through advocacy to administration, faculty, parents, and students
Closely monitor students’ results weekly via the SSMS (AQC 360, Tracker, reports) and discuss with the Deputy Director/HOD/YGL
Ensure that all teachers in KG-G10 are using the SABIS Point System® of instruction
Follow up and monitor teacher performance to ensure that they are meeting and/or exceeding expectations
Follow-up with HOD/YGL on the development and implementation of academic support plans for struggling students. Suggest adaptations to the plans if no improvement is being made
Oversee the implementation of AMS re-take prep, re-take, and make-up exams in accordance with the policy set for SABIS® schools and in coordination with SLO and the Exams Department
Oversee the scheduling of stand-alone Prep List sessions in coordination with SLO, HODs, and the Exam Department
Oversee the implementation of the SABIS® exam policy
Liaise with the Student Life Coordinator to ensure SLO engagement in organizing and providing academic support to all students
Oversee student movement into and out of intensive (English and math) and world language classes (German, French, Spanish). Movement of students between one full-year course and another should be limited following a settling-in period of ca. 3 weeks at the start of the year. Any movement past this period requires approval of the School Director/Deputy Director and the SABIS® Regional Academic Quality Coordinator (RAQC)
Follow up with HODs/YGLs to ensure that all teachers are on pace
Spot-check teachers’ points for thoroughness and alignment with pacing
Issue interim academic progress reports when needed for students who are struggling
Prepare report card comments and review results to ensure alignment between performance and the comment for Term 1, Term 2, and end-of-year. Sign all end-of-year report cards after they have been approved by the School Director/Deputy Director and SABIS® RAQC
Work with Student Management Coordinator to monitor student attendance and behavior, particularly if negatively impacting student academic performance
Approve the Final Exam Timetable and develop schedule for study sessions in non-exam periods
Identify students who have not met promotion criteria and those in need of Summer School/re-take exams at end of August. Share list of students in need of Summer School with the Deputy Director.
Manage and record the course selection process for students in grades 9-11 including coordination with the University Counsellor(s) to guide students on proper course selection. Ensure that parents have signed off on annual course selection. (G9-11 only)
Manage the implementation of external exam programs including student registration for exams (AP, IB, IGCSE, SAT) and submission of all internal coursework/assessments (G9-12 only)
Review, analyze, and report on external exam result (G9-12 only)
Approve student promotion to the next grade level and oversee summer school placement
Contribute to the maintenance of the school’s accreditation
Ideal Requirements:
Bachelor's degree in a relevant subject matter; master’s is a plus
English Proficient; knowledge of local language is preferable
Teaching certificate is a plus
A minimum of 3 years of SABIS® experience
