Office Coordinator

Job Description

We are seeking a proactive and organised Office Coordinator to enhance and manage the overall workplace environment in our Nuremberg office. This role is responsible for creating a positive and efficient work environment that promotes employee wellbeing, safety, and productivity.This role is ideal for someone who is passionate about creating a seamless, safe, and enjoyable workplace experience for all employees.


Key Responsibilities:

* Manage the overall workplace environment. Ensuring the office is well-maintained, and welcoming to all employees and visitors.
* Ensure our workplace adheres to health & safety legislation and regulations, and supports audits when required.
* Oversee daily operations of the office, including meeting room management, visitor management, and general office support (post & shipping, processing invoices, fruit & snack distribution etc)
* Lead initiatives to improve employee experience, including workspace optimisation, amenities, and on-site services.
* Act as the first point of contact for office related queries and resolve issues in a timely and efficient manner.
* Partner with vendors and contractors to ensure timely and quality delivery of services (e.g., cleaning, maintenance, catering).
* Coordinate and support company events and engagement activities, both internal and external, including logistics and set-up.
* Gather feedback from employees to continuously improve the workplace environment.
* Manage workplace budgets, including supplies, office improvements, and employee experience projects.
* Support and assist the Head of Global Real Estate with adhoc tasks when required.


Desired Qualifications and Skills:

* Relevant certifications (e.g., IOSH, IWFM) are a plus.
* Minimum of 1-3 years of experience in office management, workplace experience, or a related field.
* Knowledge of health and safety regulations, workplace safety best practices, and compliance standards, would be beneficial. Full training will be provided to support this.
* Excellent organisational and project management skills, with the ability to multitask and prioritise effectively.
* Strong interpersonal and communication skills, with a customer-focused mindset.
* Ability to work independently and collaboratively with diverse teams.
* Problem-solving skills and the ability to remain calm under pressure.
* Proficiency in Google Office Suite, and familiarity with facilities management software and tools.
* Detail-oriented with a proactive and hands-on approach.
* Ability to lift and carry light equipment as needed.
* Language- Proficient in German, and good English speaking/ writing skills.

* Attention to Detail : Ensures that all aspects of the workplace are well-managed and meet the highest standards.
* Proactivity : Anticipates needs and takes initiative to solve problems before they escalate.
