You Will Be Responsible For: • Welcoming and attending to guests and clients at the front desk according to internal regulations and office work organization Managing the telephone switchboard: answering and forwarding calls, handling general inquiries Organizing and preparing meeting rooms (including catering orders and technical setup) Handling incoming and outgoing mail as well as courier services Assisting in the organization of internal events and office activities Ordering and managing office supplies and consumables Performing general administrative tasks and supporting office management Acting as a point of contact for employees regarding office-related topics (access cards, workspaces, etc.) Administration and OH&S support if required Assisting in all ISO and other external and internal audits assisting in organization reception and office organization according to legal, OHS and audits requirements Invoices and cost settlements Responsibility for small purchasing orders for administration and hr Support for infosec team regarding alarm system and access control to the office You Are a Good Match If You Have: • Completed commercial apprenticeship (or equivalent qualification) • Experience in reception, office management, or administrative assistance is a plus • Strong service orientation with a friendly and professional demeanor • Excellent organizational skills and a structured way of working • Fluent in German, both written and spoken • Very good English skills (communication with international guests and teams) • Proficient in MS Office (Outlook, Word, Excel) • Team player with reliability and a hands-on attitude
