Introduction:
At Serco, we don’t just support space exploration—we help make it possible. For decades, we’ve been a trusted partner at ESA’s European Space Operations Centre (ESOC) in Darmstadt, Germany, playing a vital role in some of the most ambitious space missions humanity has ever undertaken. From spacecraft operations to ground systems and data processing, our expertise has earned us recognition, including ESA’s prestigious Best in Domain awards. Every day, we work hand-in-hand with ESA to ensure mission success and push the boundaries of innovation.
Now, we’re looking for someone who wants to be part of this story. We currently have an exciting opportunity for an Administration Team Coordinator based at our customer site, ESOC.
Your Mission:
Every great mission has a backbone.
At the heart of our operations is a small team of administrators who keep things running seamlessly — ensuring our people, processes and services are synchronised so the wider organisation can focus on delivering excellence. Now, we’re looking for someone who wants to lead, support, and elevate this vital part of our mission.
If you’re someone who thrives on structure, people leadership, and ensuring service excellence, this role places you right where it matters.
As our Administration Team Coordinator, you’ll become the driving force behind a dedicated team who deliver essential support every day. You’re not just managing tasks — you’re shaping standards, strengthening performance, and keeping our operation aligned and moving forward.
You will:
Lead with Purpose:
You’ll manage a small team of administrators, guiding their development, holding regular catch‑ups and appraisals, and ensuring they have everything they need to perform at their best. You’ll be their anchor, mentor, and escalation point — someone they can rely on.
Deliver Excellence:
Quality isn’t a target; it’s a mindset. You’ll ensure service delivery remains consistent, reliable, and always at the highest level. Your monthly — and sometimes ad‑hoc — service reporting will help us stay on track and continuously improve.
Support the mission - hands-on:
While you’ll lead the team, you’ll also roll up your sleeves and work alongside them. From administrative support to data validation, from procurement tasks to financial coordination — you’ll be involved in the everyday work that keeps our services running smoothly.
Where You’ll Make an Impact:
You will play a key role in:
* Maintaining and validating financial data
* Supporting Controlling and Accounting activities
* Organising travel, training, and general administration
* Managing vendor licenses
* Supporting contract and procurement processes
* Ensuring accuracy of databases and service documentation
* Assisting with supplier and cost centre management
* Preparing high‑quality customer reports
* Being a trusted internal and customer escalation point
Your leadership ensures the team remains steady, informed, and high performing. Your hands‑on involvement ensures nothing slips through the cracks. Together, you create the environment where operational success is possible.
What You'll Bring:
* Every strong mission needs someone who brings clarity, structure, and calm — someone who can guide a team with confidence while keeping the engine of the operation running smoothly. As our next Administration Team Coordinator, you are that person.
* You don’t just manage people — you elevate them.
* You don’t just complete tasks — you create order.
* You don’t just support the mission — you enable it.
Here’s what you’ll bring to help us move forward:
Leadership that inspires confidence:
You have a natural ability to lead through clarity and empathy. Your team sees you as someone who listens, develops them, and keeps them grounded.
You bring experience in:
* Managing or coordinating small teams
* Conducting regular catch‑ups and appraisals
* Providing guidance, structure, and support
* Acting as a reliable escalation point when issues arise
Your presence gives people confidence. Your leadership gives them direction.
A commitment to high standards.
For you, quality isn’t something you chase — it’s built into everything you do.
You bring:
* A mindset centred on consistency and reliability
* Strong organisational and problem‑solving skills
* The ability to ensure services run smoothly day after day
* Experience producing clear, accurate reports (monthly and ad‑hoc)
* A sharp eye for details others might miss
Your drive for excellence keeps our service robust and trusted.
A hands‑on, team‑first approach:
You know great leaders are also willing to get involved.
You’re comfortable balancing leadership responsibilities with daily operational tasks — and you’re happiest when the team is succeeding together.
You bring experience in areas such as:
* Administrative support and office coordination
* Organising travel, training, and general admin tasks
* Maintaining and validating financial data
* Advanced Excel and pivot table proficiency
* Supporting controlling and accounting activities
* Managing vendor licences
* Supporting procurement processes and GRN checks
* Ensuring database accuracy and documentation consistency
* Preparing high‑quality reports for customers
* Supporting supplier and cost centre management
Nothing is beneath you — and nothing is beyond you.
Reliability, professionalism, and trust
* You bring a calm, structured presence that helps the team stay steady even when work becomes complex.
* You build trust easily — with your colleagues, with stakeholders, and with customers.
* People rely on you not just because you get things done, but because you do them well.
In short:
* You bring leadership.
* You bring organisation.
* You bring heart.
* And you bring the mindset of someone who knows that exceptional administrative coordination is what keeps an entire mission on course.
