Legal Administrative Assistant Role
This role involves providing high-value administrative support as part of a legal team.
Main Responsibilities
* Collaborate with partners and fee earners to deliver an exceptional legal administration service;
* Develop strong relationships with stakeholders within your team and across the organization;
* Proactively promote team working with fee earners and senior business services leaders;
* Share feedback received from stakeholders in a timely manner to help resolve issues;
* Act as a role model and mentor to less experienced team members by sharing knowledge and best practice;
* Participate in and contribute to team meetings.
Compliance Support
* Provide direct support to partners and fee earners with new client and matter setup and management activity;
* Engage with partners, fee earners, and clients to capture mandatory information for client onboarding and compliance reviews;
* Liaise with the billing team to ensure client master data is timely and accurately updated.
Team Workflow
* Monitor workflow from the team inbox and complete tasks in priority order;
* Manage fee earner/senior business services leaders' expectations in terms of deadlines and outcome of tasks assigned;
* Take responsibility to ensure work is undertaken in the most appropriate way to maximise efficiency.
Providing General Legal Administrative Support
* Support partners and fee earners proactively anticipating potential problems;
* Ensure accurate and timely use of relevant platforms to facilitate matter opening, maintenance, closure, and archiving;
* Record time for partners and fee earners when required;
* Coordinate internal and external client meetings effectively;
* Assist fee earners/senior business services leaders with meeting organisation, including preparation of agendas and collating meeting papers;
* Draft, create, and edit documentation according to the style guide templates and precedents;
* Arrange travel bookings, including visas, flights, hotels, taxis, accommodation, and rental cars;
* Understand expectations for remote work in line with the firm's policy.
