Job Purpose
The Programme Coordinator plays a key role in ensuring the smooth operation and strategic coordination of the programme’s activities. Working closely with the Programme Director and Deputy Director, they ensure effective collaboration with internal teams, national offices, policy fellows, and external stakeholders. The role involves cross-functional coordination in areas such as advocacy, financial management, fundraising, and communications. The coordinator ensures effective project delivery and may contribute to other programme initiatives, enhancing the overall impact of ECFR’s work and the programme’s objective.
Main Responsibilities
- Support the implementation of the Programme’s strategy and work plan under the guidance of the Deputy Director.
- Coordinate the development and execution of advocacy and communications strategies, ensuring alignment with ECFR’s national offices.
- Organize and manage all aspects of Programme events, including private meetings, workshops, consultations, and public events.
- Oversee the deliverables and Programme’s financial management, including budget drafting, monitoring, reporting, and ensuring compliance with grant/donor regulations.
- Coordinate fundraising efforts and contribute to the preparation of relevant materials and approaches for prospective donors in collaboration with the Strategic Partnerships team.
- Help strengthen and maintain relationships with current donors, and support donor reporting and grant management.
- Build and maintain a strong advocacy network by liaising with external contacts, partners, ECFR council members, and relevant stakeholders.
- Develop and maintain ECFR’s global contact database to support outreach and Programme communications.
- Track and report on the Programme’s impact to ECFR Leadership Team, Board of Trustees, and external donors/stakeholders.
- Support effective integration of the programme’s interns, acting as main point of contact and coordinating onboarding, providing guidance, and ensuring they have the resources needed for success.
Additional responsibilities may be assigned as needed to support overall ECFR organizational priorities.
Person Specification
Education and knowledge
- Education and experience equivalent to either a Master's degree with 2 years, or a Bachelor's degree with 4–5 years of relevant work experience
- Work experience in the think tank, non-profit sector, or foundations, including project management in fast-paced international environments requiring extensive coordination.
- Knowledge of European politics, foreign policy, and understanding of regional geopolitics relations.
- Knowledge of budgeting, financial monitoring, and reporting.
- Proven experience in events management and advocacy, including planning, organizing, and executing events.
- Strong track record in research, analytical skills, and preparation of detailed reports.
- Fluent written and verbal English is essential. A working knowledge of French/German is a huge plus, and any knowledge of Hindi, Korean, or Japanese is an asset.
IT Requirements
- Skilled in Office 365, in particular Excel.
- Desirable knowledge in budget management software, i.e., Infor Sun System
- Understanding of CRM database, WordPress, or similar.
- Familiarity with data protection regulations, basic cybersecurity awareness, and safe handling of sensitive data.

Special Conditions:
- This role requires travel and a willingness to work outside of standard business hours when necessary, including weekends or evenings.

While the advertised salary range for this position is €43,000–€47,000, we remain open to discussing higher compensation for candidates with exceptional experience and a strong fit for the role.
