Job Description
As our new Workplace Assistant (f/m/d) at Ubisoft Mainz, you will be responsible for ensuring smooth operations at the entrance and handling all front desk-related requests. In close collaboration with the Workplace Managers and Specialists, you will carry out recurring and standardized tasks to manage to entrance area, along with additional responsibilities.
In addition to visitor management, the front desk is responsible for the processing and booking travel requests, responding to, distributing, and declining incoming messages, mail, and calls from external parties. Postal services and basic office supplies are also managed here.
As the first point of contact for external personnel, you will be involved in various processes across different departments and will serve as an ambassador for our company and first-level support to many employees.
What you will do:
* Serve as the first point of contact for employees and external personnel.
* Handle baseline requests and provide general services.
* Manage visitor reception and coordination.
* Process incoming and outgoing correspondence.
* Support project work and carry out tasks under the guidance of the Workplace Manager.
Qualifications
What you bring:
* Completed apprenticeship or relevant experience in a service-oriented work or office environment (e.g. hotel, commercial, or travel sector).
* Previous experience in a similar or comparable role (e.g. reception, front desk, flight attendant etc.) is a plus.
* Strong service orientation and ability to work well in a team.
* Good organizational skills.
* Socially competent and outgoing personality.
* Solid knowledge of German orthography and strong language skills.
* Solution-oriented and able to work independently.
* Fluent in spoken and written English.
