POSTE

We are looking for a highly organized and proactive Office Manager to oversee the daily operations of our Luxembourg office and ensure a smooth, efficient, and welcoming work environment. The ideal candidate will be hands-on, solutions-oriented, and able to balance administrative, operational, and people-related responsibilities with professionalism and discretion.

Key Responsibilities

- Manage all incoming and outgoing mail for Luxembourg office.

- Maintain and continuously improve the physical and electronic archiving of documents.

- Act as the main point of contact for visitors and external stakeholders, including the landlord, maintenance providers, and other partners.

- Oversee office supplies management and inventory.

- Manage inventory and restocking of IT equipment for the office.

- Coordinate e-waste disposal in collaboration with internal IT Logistics.

- Ensure proper organization, safety, and maintenance of the office storage areas

- Monitor utilities and sustainability initiatives (energy saving, recycling, etc.).

- Ensure compliance with workplace health and safety regulations.

- Organize group lunches, team-building events, and other office activities.

- Welcome new hires and coordinate employee onboarding and offboarding.

- Issue and manage employee and visitor access cards.

- Provide administrative support to Finance, Treasury, Tax, Legal, and other business lines as needed.

PROFIL

- Minimum 2 years of experience in an administrative, organizational, or similar detail-oriented role.

- Fluency in English and French or German (written and spoken).

- Excellent communication, organizational, and adaptability skills.

- Self-driven, with the ability to work independently and demonstrate strong attention to detail.

- Strong interpersonal skills and ability to interact effectively with internal and external stakeholders.

This is a part time opportunity for a 24 hours per week. Ideally 8 hours on Tuesday and Thursday, with flexibility for the other schedule.

Salairy: hourly rate beetween 24EUR and 26EUR gross (depending on experience)

Start of the mission: asap - 1th July 2026
