A leading international law firm based in Luxembourg is seeking an experienced Personal assistant to provide high-level administrative and organisational support to senior members of the Employment & Litigation department.

Key Responsibilities :

As a Personal Assistant, your duties include :

- Acting as a coordinator between the Partner and internal/external contacts Providing general and specific administrative support (drafting and reviewing correspondence, document handling, filing, scanning, etc.)
- Managing incoming calls and messages Managing calendars and electronic diaries Organising meetings, calls, seminars, and events Booking and coordinating international travel Supporting client file management and follow-up Preparing documents for internal and external meetings
- Processing expense reports and mission orders You will also support the Litigation Legal Team with: Assisting lawyers with file management (e.g., matter openings) Preparing litigation files and court bundles Liaising with notaries, lawyers, and authorities
- Document tracking, including signatures and legalizations

Profile & Qualifications :

- Proven experience as a Personal Assistant, Paralegal, Legal Secretary, or Administrative Assistant in a law firm, notary office, fiduciary, or other professional services firm
- Degree in administration, secretarial work, legal studies, or related field
- Fluent in English and French (written and spoken); German or Luxembourgish is considered an asset
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, Visio)
- Familiarity with preparing RCS filings and proxy documentation is a plus
- Strong multitasking, organisational, and prioritisation skills
- High attention to detail, accuracy, and discretion
- Proactive mindset with the ability to take initiative
