We’re seeking a team assistant with experience working internationally in teams with resources across multiple countries. You will need intercultural awareness in supporting different teams thereby meeting multiple timelines. The team supports our Senior Management as well as the organization in all administrative matter. We’re seeking a team assistant to work at least 80% (part-time) or full-time. What you will do Proactive and efficient office management, including calendar management, organization of meetings/phone/video conferences, offsites, leadership & team meetings as well as filing and document management Identify opportunities to improve administrative processes and implement solutions to enhance efficiency Coordination of appointments with internal and external participants Travel arrangement as well as travel expenses In- and outgoing office correspondence both in German and English Special assignments, ad-hoc work and related duties, e.g. coordination of events or supporting the organization programs Centralized orders of office supplies On-boarding of new staff in regards to IT- and Office Set-up Preparation of certain bookkeeping work Absence coverage of assistant colleagues What you bring You enjoy working in an international and challenging environment. Your organized approach, ability to multi-task and prioritize, proactive and engaged working style and excellent communication and interpersonal skills will contribute to our success. In addition, you are flexible in your working hours, as the usual office coverage is from 9am-6pm and the team organizes the office hours amongst themselves.
