The Purpose:
We are seeking a proactive and highly organised Executive Assistant & Office Manager to support our Chief Technology Officer (CTO) and Chief Commercial Officer (CCO) on a contract role initially planned for approximately 6 months. In this pivotal role, you’ll help manage daily operations, ensure seamless coordination, and contribute to the continued growth and success of our business.
This role is ideal for someone who thrives in a fast-paced, dynamic environment and is passionate about delivering outstanding support. Beyond your executive support duties, you'll also help foster a positive and productive office culture for our exceptional team in Berlin (Chausseestraße 117, 10115 Berlin).
What You'll Do:
o Provide comprehensive administrative support to the CTO and CCO, including complex calendar management, meeting coordination, and travel arrangements
o Assist with project management tasks by tracking progress, deadlines, and deliverables, and ensuring timely follow-up
o Organise and coordinate internal and external meetings, conferences, and events, ensuring smooth execution and communication
o Collaborate with cross-functional teams to support executive initiatives and enhance internal coordination
o Support corporate governance activities, including liaising with board members and shareholders, taking minutes, and managing corporate documentation
o Stay informed on company offerings, pricing, and industry trends to effectively support strategic initiatives
o Manage general administrative duties, such as handling mail, processing expenses, and preparing documents
o Oversee office management tasks, including greeting visitors, preparing meeting rooms and refreshments, liaising with building management, and supporting office social events
What You'll Need:
o Proven experience in a similar role supporting senior executives
o Strong organisational and time management skills, with the ability to multitask and prioritise effectively
o High level of confidentiality, discretion, and professionalism
o Proficiency in Google Workspace, Microsoft Office Suite, and other relevant tools
o A proactive mindset with a bias for action and problem-solving
