To support our SBE (Strategic Business Excellence) Team in Germany, we are looking for support as: Front Desk Coordinator & Team Assistant SBE (f/m/d) Focus will be on: Activity (30 %) for SBE PO Coordination / Budget Process Management of SBE, in cooperation with Director SBE and Cost Center Managers Routine coordination of upcoming appointments as well as well thought-out travel planning – including all related tasks such as posting and billing Support of the SBE Director in the planning and implementation of important appointments, incl. Creating presentations for conferences and meetings Organization and responsibility for meetings and events of SBE Coordinating/preparing and summarizing inquiries or information and access authorizations to IT tools for the team Participation in - and contribution to - the meetings and activities of the SBE leadership Collaborate with other assistants in organizing and executing pre- and post-event events, if necessary Transfer of presentations, reports, minutes, status reports and correspondence (DEEN) Activity (70 %) for Front Desk Coordination Responsible for General Services o Welcome Desk: Reception and support of (international) visitors and guests Coordination/preparation and summarization of inquiries and information via central telephone system and mail account Daily processing of incoming and outgoing mail, as well as parcels Procurement of office materials Administrative support of selected processes and areas, such as: Distribution Management (Customer Management Invoicing) Qualification requires Completed commercial training/business studies, or similar Confident appearance and organizational skills Initiative, careful way of working and strong team spirit Strong communication skills, high reliability and empathy Experience in event organization and project management Very good knowledge of MS Word, MS Outlook (or equivalent) and advanced knowledge of MS Excel & PowerPoint Experience in budget controlling/PO management Fluent in German and English Our offer A permanent employment contract in an international future-oriented and dynamic company A meaningful job with real added value for society and patients Personal development and the opportunity to actively contribute to the company's success A pleasant and personal working atmosphere Communication at all levels and an open corporate culture Up to 36 days off and vacation Hybrid working and flexible working hours Attractive and performance-related payment Company health management, sports offers and pension scheme Allowance for additional benefits such as mobility, canteen, and childcare Underground parking and many other benefits Thank you for considering Ipsen as an employer of choice.
