Office Management & Daily Operations: Serve as the primary point of contact for the Oberhausen office, ensuring smooth day-to-day operations. Manage office supplies inventory, place orders, and maintain relationships with vendors and suppliers. Ensure the office environment is clean, functional, and professionally presented. Handle incoming and outgoing mail, packages, and courier services. Communication & Coordination: Act as a key liaison between the Oberhausen office, headquarters, and other international branches. Handle internal and external communication with a high degree of professionalism and discretion. Draft, proofread, and format documents, presentations, and reports in both English and German. Administrative & Executive Support: Provide comprehensive administrative support to the team and senior management. Manage complex calendars, schedule meetings, appointments, and coordinate travel arrangements. Organize and prepare for meetings, including agenda distribution, room booking, and catering arrangements. Process and manage expense reports and invoices in a timely manner.
