Administrative support specialist

Job Description

We are seeking a highly organized and diligent Operations Coordinator to join our team. This role will involve handling various reporting and governance processes, managing service contracts, coordinating compliance projects, overseeing recruitment processes, supporting ESG reporting requirements, and assisting with fund investments onboarding.

In this position, you will have the opportunity to drive initiatives, create impact, and contribute to the success of our rapidly growing investment unit and the portfolio of companies we support. You will gain deep learning and hands-on experience in dynamic processes and access to a wide international network.

Your responsibilities will include:

* Handling various reporting and governance processes, such as data privacy responsibilities
* Managing service contracts, including assisting with renewals processes
* Coordinating compliance projects
* Overseeing recruitment processes, including coordinating interviews and managing communications
* Supporting our ESG reporting requirements, including the annual report and ad hoc requests
* Assisting with fund investments onboarding by coordinating paperwork with legal and other departments


Required Skills and Qualifications

To be successful in this role, you will need to have:

* Experience in a relevant administrative or operational role; understanding of the investment/VC sector is a plus
* Ownership and responsibility across a range of work verticals, operating with quick turnaround timelines and good stakeholder management
* Highly organized, diligent, and detail-focused with proven experience in operational processes and smooth execution of projects and daily activities
* Ability to thrive in dynamic working environments with a variety of different tasks
* Team-oriented attitude, capability to work well in distributed teams and in remote working environments
* Technical capabilities working with the Microsoft suite (Excel, PowerPoint etc.)
* Outstanding written and oral communication skills to communicate across diverse teams and with a variety of different stakeholders
* Fluency in German and English, capable of engaging effectively in both languages for diverse stakeholder communication worldwide
