Responsibilities:
1. Organizational and Administrative Support
2. Provide qualified support to the CEO in carrying out strategic and operational tasks
3. Independent organization, coordination, and follow-up of appointments, meetings, business trips, and events
4. Preparation of presentations, reports, and minutes
5. Handling correspondence in German and, if required, in English
6. Management of filing systems and confidential documents
7. Hosting visitors and external partners as directed by the CEO
8. Communication and Interface Function
9. Competent forwarding of the CEO’s decisions to relevant business areas
10. Maintenance and management of contacts (Outlook), as well as processing mail and emails
11. Acting as an interface between the CEO and specialist departments to ensure smooth information flow
12. Travel and Event Management for the Schwelm Site
13. Organization and booking of business trips (including visa applications)
14. Management and verification of travel documents
15. Review and settlement of travel expenses
16. Contract and Document Management
17. Supervision and maintenance of contract management
18. Administration of company-relevant documents, including invoice control
19. Special Projects and Internal Services
20. Design and ordering of promotional gifts in cooperation with the marketing department
21. Preparation and processing of commission statements
22. Planning and coordination of internal company events (e.g., summer party and Christmas celebration)
Qualifications:
23. Completed commercial training or a comparable qualification
24. Several years of professional experience in a similar role, ideally in an international environment
25. Strong organizational skills, discretion, and excellent communication abilities
26. Proficient in MS Office and modern communication tools
27. Very good command of German; good English skills are an advantage
