Executive Assistant to the German Leadership Team / CEO Location: Berlin, Germany Department: ICEYE Germany Reports to: CEO, ICEYE Germany Employment type: Permanent Workplace model: Hybrid Employment is subject to applicable security screening (incl. SUPO, where required) Why this role matters: As an Executive Assistant to the German Leadership Team / CEO, you’ll act as a trusted partner to the CEO and leadership team, enabling effective decision-making, prioritisation, and execution in a high-impact national security environment. You will establish and run executive operations, ensuring the CEO’s time, focus, and stakeholder engagement are aligned with ICEYE Germany’s strategic priorities. Your day-to-day responsibilities Own and optimise CEO and leadership team calendars, ensuring clear prioritisation and time allocation for strategic work Manage senior stakeholder interactions, including government and defence partners, ensuring professional coordination and protocol adherence Plan and execute complex domestic and international travel, events, and logistics end-to-end Prepare high-quality executive briefings, summaries, and meeting materials by synthesising complex information into clear insights Track decisions and actions, ensuring timely follow-up, escalation, and closure of key priorities Handle confidential and sensitive information with discretion, including coordination of security and compliance processes Establish and improve executive operations, processes, and tools to support a scaling organisation Support hiring coordination and onboarding activities during early team build-out What we’re looking for Must haves: 5 years of experience supporting C-level executives in a fast-paced environment Fluent German and English (written and spoken) Proven experience managing senior stakeholder interactions, ideally in government, defence, or regulated environments Strong organisational and project management skills, with the ability to prioritise and execute independently Experience preparing executive briefings and synthesising complex information into concise materials High level of discretion and experience handling sensitive or confidential information Hands-on mindset with the ability to manage both strategic coordination and operational tasks Nice to haves: Experience in defence, national security, or public sector environments Exposure to Chief of Staff responsibilities or strategic project coordination Experience setting up processes and operating models in growing organisations Familiarity with tools such as Google Workspace and project management platforms (e.g., Confluence or Jira) Strong interpersonal skills and ability to navigate complex stakeholder environments Working at ICEYE At ICEYE, you’ll join a diverse and highly engaged team united by the ambition to make the impossible possible. Base salary range for this position is €4,583–€5,417 per month (gross), depending on experience, and will be negotiated individually.
