The Role
We are looking for a service-oriented individual to become the heartbeat of our Academic Front Office. As the first point of contact for our community, you will ensure our campus runs like clockwork while providing a world-class experience for students and faculty.
The Student & Faculty Experience
> Be the Face of the School: Manage the daily opening/closing of the campus, ensuring a professional and welcoming atmosphere.
> Primary Point of Contact: Provide expert, timely assistance to students and lecturers for all inquiries.
> Onboarding & Support: Lead student orientation, assist with email setup, and provide first-level support for our learning platforms (Moodle).
> Events & Engagement: Support industrial visits, special courses, school events, and academic activities.
Academic Administration & Records
> Document Lifecycle: Manage the end-to-end process for student IDs, official letters, certificates, and the distribution of final diplomas/transcripts.
> Operational Syncing: Update class schedules and academic records within our internal database.
> Academic Liaison: Coordinate critical communication regarding student withdrawals and mitigating circumstances between faculty and administration.
> Quality Control: Organize retake sessions and maintain meticulous academic filing and documentation (scanning/filing).
Reception & Digital Operations
> Command Center: Manage front desk operations, including phone/email inquiries and mail distribution.
> Environment Curation: Keep our community informed by maintaining notice boards and informational materials in common areas.
> Tech Support: Act as the first-level IT contact for faculty, coordinating with technical services to resolve issues quickly.
About you
* Fluency in English & German is essential.
* Previous 1+ years of experience working in a similar role.
* Problem Solver, you don’t just find issues; you take initiative to fix them.
* Detail-Obsessed, you take pride in the accuracy of student records and academic documents.
* Comfortable navigating databases, Moodle, and basic IT troubleshooting.
* Customer-Focused, you have a positive, approachable attitude and enjoy multitasking in a vibrant environment.
