Position Overview
We are seeking a highly motivated and detail-oriented individual to join our team as an Executive Assistant, either based in Frankfurt or working remotely with regular visits to our office. The successful candidate will play a critical role in supporting the partners in their daily responsibilities, including administrative coordination, strategic initiatives, and fundraising activities across Europe and the Middle East. This role requires a high degree of responsibility in managing selected projects and topics, with occasional involvement in market research and the preparation of marketing materials.

Key Responsibilities
Executive & Administrative Support
* Provide high-level support to partners and senior management, including extensive diary management across global time zones and preparation of meeting materials.
* Support outreach to prospective investors by following up via phone or email in a professional and timely manner.
* Act as a professional gatekeeper by screening enquiries, handling confidential correspondence, and ensuring smooth communication flows.
Travel & Logistics
* Coordinate complex international and domestic travel, including flights, visas, accommodation, and ground transportation.
* Support international visitors and liaise with reception and couriers to ensure seamless logistics.
Finance & HR Administration
* Prepare and reconcile expense reports, process invoices, and maintain accurate records in line with company policy.
* Support onboarding of new team members and maintain absence and leave records.
Operations & Project Support
* Manage meeting logistics, including room bookings, guest access, and hospitality.
* Contribute to strategic initiatives and recurring tasks such as updating company presentations, preparing pipeline reports for clients, and other business materials.
* Conduct occasional market research and support marketing material preparation.
* Assist in the organization of team events and provide support to colleagues when required.
Qualifications
* Bachelor’s or master’s degree required.
* Minimum 2–3 years’ experience as an Executive Assistant or in a similar role, covering most of the responsibilities outlined.
* Native-level German (mother tongue) and excellent written and verbal communication skills in English are mandatory. Additional languages are a plus.
* Strong organizational and multitasking skills, with the ability to manage competing priorities across time zones.
* High level of professionalism, discretion, and integrity in handling confidential matters.
* Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook), with ability to update presentations and reports.
* Proven capability in diary management, travel coordination, expense reporting, and stakeholder communication.
* Solution-oriented mindset, attention to detail, and ability to take ownership of recurring and ad-hoc tasks.
