Duties Description Under the direction of the Program Aide, the Office Assistant 1 (Keyboarding) will assume the following responsibilities:
•prepare and process confidential reports utilizing Microsoft Word,
•gather information and create reports in Excel,
•provide clerical support to all office staff and highway maintenance supervisors,
•maintain electronic and paper filing system,
•assist in Statewide Financial System activities including the creation of receipts and purchase orders,
•assist in the processing of timesheets utilizing LATS and MMS software, TRINFO, and HRIS,
•process training and certification requests,
•process personnel-related forms including hiring, probation, performance evaluation, health insurance and other forms as needed,
•open and process postal mail daily,
•answer and process phone calls from the public and department personnel,
•attend professional development offerings and trainings as recommended,
•perform other duties typically assigned to an Office Assistant 1 as needed,
•assume the role, if necessary, within the Incident Command System (ICS) to support the department’s response to regional and statewide emergency situations, which may occur outside of normal shift hours of Monday – Friday, 8:00 am to 4:00 pm.
