Job Description
The successful candidate will manage executive-level administrative responsibilities, coordinate department-wide organizational activities, and act as a key point of contact between the SVP and both internal and external stakeholders.
Key Responsibilities
* Manage the SVP’s schedule, meetings, travel, communications, and meeting minutes
* Track and ensure follow-ups on key actions and deadlines.
* Act as a liaison between the SVP and both internal and external stakeholders.
* Handle administrative and organizational tasks for the GQA department.
* Assist with budgeting, cost tracking, and financial planning for the department
* Handle invoice processing for suppliers, authorities, and service providers.
* Prepare high-quality presentations, reports, and documents for senior leadership
* Organize departmental events including summits, workshops, and team gatherings.
* Keep GQA pages on United and SharePoint up to date and well-maintained.
* Support internal communications to ensure clear and consistent messaging.
Qualifications
* Proven experience supporting senior leadership or project coordination in a fast-paced environment.
* Strong proficiency in Microsoft Office 365 (Outlook, PowerPoint, Excel, Word), SAP, and virtual collaboration tools (e.g., Teams, SharePoint).
* Excellent command of English and German, both written and spoken.
* Strong organizational skills with attention to detail and the ability to manage multiple priorities.
* High level of discretion and professionalism in handling confidential information.
* Proactive, solution-oriented mindset with the ability to anticipate needs and act independently.
* Strong interpersonal skills, emotional intelligence, and cultural sensitivity.
* Resilience and the ability to remain composed under pressure.
