Are you an enthusiastic organized multitasker who thrives in a dynamic environment where every day is different? We’re looking for a Business & Office Support Coordinator to play a crucial role in supporting our international and multicultural Sales and Service Support Team (60%) while also managing office administration tasks (40%) for our Munich office.
In this hybrid role, you will be responsible for following tasks:
✅ Sales & Service Support
* Manage customer portals:
upload invoices, delivery notes, download purchase orders.
* Support tender processes:
download and maintain essential business documents.
* Keep CRM (Salesforce) data up to date with customer details.
* Assist with compliance documentation related to the Supply Chain Act.
* Track German demo stock and create shipments,
* Help process orders in SAP HANA (USA) and manage export control documents.
* Monitor and organize the German Business Support inbox,
✅ Office & Administration Support
* Coordinate the German company car fleet
* Arrange travel and accommodations for guests.
* Plan and coordinate company events.
* Manage office supplies, facilities, and contracts
* Act as the first point of contact for office landlord and service providers.
* Handle office organization, access cards, and mail distribution.
* Support new hires with essential items
* Ensure compliance with German health and safety regulations.
✅ Who Are We Looking For
* A positive, proactive & communicative problem solver with excellent organizational skills.
* Detail-oriented and capable of managing multiple responsibilities efficiently.
* Ideally familiar with CRM tools (Salesforce), SAP HANA, and office management systems.
* Strong communicator in both German and English. Ideally German native speaker.
