Administrative Support Specialist
* Schedule appointments, arrange conference calls across different time zones, coordinate internal and external meetings, venue organization, and preparation of necessary documents.
* Support with and coordinate all administrative tasks related to client portfolios, maintaining and monitoring the entire lifecycle of client files from inception to completion.
* Manage both internal and external communication (emails/phone calls) related to client portfolios.
* Daily record keeping with electronic and hard copies and filing of documents in accordance with relevant conventions.
* Evaluate assigned portfolios for compliance with established firm standards.
* Update the CRM database accurately on a regular basis.
* Handle basic correspondence between lawyers, bailiffs, courts, and experts.
Your Profile:
* Hold a degree in Office Management or International Administrative Management (ESA) or Euro Management Assistant or equivalent.
* Have excellent time management skills, ability to multitask and prioritize work.
* Ideal experience: at least 5 years as an assistant or executive assistant in an international environment, preferably in the legal, advisory, or financial sector.
* Be fluent in English and French (native speaker level), with written and spoken German or Luxembourgish as a highly regarded asset.
* Have high proficiency in MS Office.
* Hold a service-oriented mindset with the necessary attention to detail and problem-solving skills.
