The Executive Associate (m/f/d) will provide administrative and project support to the Vice President, Head European Markets in Medical Affairs business unit. Perform highly diverse administrative and project focused duties, which by nature of the position may involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion, and judgment. Must have proven skills in prioritizing and multi-tasking and the ability to remain poised and focused in a fast-paced working environment.
Key Responsibilities and Major Duties:
1. Perform highly diverse, and often time-sensitive, complex administrative functions, projects, and tasks.
2. Ability to process SOWs, contracts, budget tracking, payments and invoicing. Addresses correspondence manages complex calendars, schedules meetings, conferences, and events, makes domestic and international travel arrangements, maintains accurate departmental records, produces presentations including graphics and charts, and on-boards & off-boards contractors and employees.
3. Has strong organizational skills, pays close attention to detail and follow-up, and properly balances priorities and resources.
4. Maintains a positive attitude, a high level of productivity, and is adaptable to change. Proactively looks ahead at schedules, events, and needs of manager/team, anticipates conflicts, problems, and issues, and takes appropriate steps to produce desired outcomes with minimum assistance from supervisor.
5. Interface in a professional manner with senior executives and matrix team members, handle confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations. Project coordination and management for various assignments and campaigns related to site leadership team.
6. Anticipate key issues and implement action plans based on changing priorities and commitments.
7. Prioritizes activities and takes action based on an understanding of departmental objectives and business needs.
8. Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
Qualifications:
9. College education in administration, bachelor's degree preferred
10. 7 years administrative or comparable experience. Prior BMS and Executive Associate or Project Manager experience preferred
11. Highly motivated, independent thinker with proven problem solving and analytical skills. Ability to utilize technology effectively to support strategic initiatives and/or processes
12. Ability to interact with colleagues at all levels of the organization.
13. Must be highly proficient in various BMS systems (Concur Travel/T&E, for requisitioning and contract management, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint) and other office tools (Calendar, eMail, and audio/ video conferencing).
14. Detail oriented with excellent oral and written communication skills. Adapts easily to new learning situations, can establish priorities, is very proactive, reliable, and accountable, and works with minimal supervision.
15. A collaborative team player who effectively builds relationships with team and other departments and can work independently.
16. Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time-zones and during periods of heavy workload.
17. Exhibits a positive work attitude, high productivity, and a collaborative approach with other employees across a matrix and international environment.
18. Provide back-up support as needed to cover planned (e.g., vacations) as well as unplanned (e.g., emergencies, etc.) absences.
