Team Assistant - stunning, centrally located Frankfurt office!
THE CLIENT
Our client is a successful, independent investment firm operating across Europe. With a modern, centrally located office in Frankfurt, they operate with a collaborative tight-knit, high-performing team. As the firm continues to grow, they are looking for a reliable and proactive Team Assistant to provide full operational and front-office support to their Frankfurt team.
THE ROLE
Working alongside a wonderfully supportive Office Manager, the role will be hands-on and varied ideal for someone with a collaborative mindset. As the Team Assistant & Receptionist, you’ll play a pivotal role in keeping the office running smoothly, managing travel, events, and day-to-day coordination.
You’ll be the face of the office and a vital support to the wider team — it’s a great opportunity for someone who enjoys being a 'go to' person.
Duties will include but are not limited to:
* Managing and coordinating calendars and travel (national and international)
* Booking and supporting meetings, video calls, and conference calls
* Processing expenses for the Frankfurt team
* Organising team events (e.g. off-sites, team days)
* Preparing and formatting documents and presentations (Word and PowerPoint) in both German and English
* Welcoming guests, setting up meeting rooms, and arranging catering
* Maintaining a presentable reception, kitchen, and communal area
* Handling daily post, filing, and general office admin
* Ordering supplies and managing stock inventory
* Covering for colleagues during holidays
* Reproducing and binding documents and presentation packs
KEY REQUIREMENTS
* 2+ years’ experience in a similar Team Assistant/Administrative role
* Fluent in German and English, both spoken and written
* Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel
* Excellent organisational and multitasking skills
* Friendly, dependable, and highly professional
* Strong attention to detail and the ability to follow procedures
* Proactive and enthusiastic with a “can-do” attitude
* Confident communicator, able to liaise comfortably with internal and external stakeholders
* Experience working across multiple teams
