Site Management Specialist (Munich)
Role Summary
The Site Management Specialist ensures the smooth, safe, and efficient operation of our Munich and Ismaning sites, supporting ~260 employees across office, lab, and technical areas. The role spans facilities operations, vendor management, fleet administration, and EHS coordination, in close collaboration with procurement, real estate, accounting, and security. This is an office-based role and your presence in both sites is regularly required. You will also need to support project-based work at times, such as internal moves or future relocation activities.
Key Responsibilities
Site & Facilities Operations
1. Manage day to day matters with our landlord which includes verification of changes to contracts and review of annual accounts, etc.
2. Oversee daily office, lab, and shared‑space operations, including maintenance and repairs.
3. Supervise outsourced reception services.
4. Manage employee-facing service providers (company phones, bikes, health-club memberships).
5. Support organization and execution of internal and customer-facing events.
Vendor Management & Procurement
6. Ensure all Site Management related contracts are properly documented and endorsed in our global contract management tool.
7. Manage external providers for soft and hard services.
8. Track performance and SLAs; resolve service issues.
9. Ensure compliance with global procurement and contract processes.
Fleet Administration (Germany)
10. Manage lifecycle of ~65 company vehicles.
11. Maintain accurate driver and vehicle data in line with policies and legal requirements.
12. Coordinate with fleet service partners and drivers (ordering, returns, maintenance, repairs, tire changes, insurance, HU/TÜV).
13. Validate invoices and track fleet costs, including TCO per vehicle.
EHS Coordination
14. Support compliance with German workplace safety regulations.
15. Work with the external Safety Specialist and Occupational Physician.
Processes & Documentation
16. Maintain SOPs, checklists, asset lists, and operational documentation.
17. Manage structured documentation in SharePoint/OneDrive.
Qualifications
18. 2–4+ years in facilities or site management, ideally with exposure to fleet and EHS topics.
19. Strong process discipline and ability to maintain structured documentation.
20. Experience with accounting systems for cost tracking, budgeting, and performance reporting.
21. Ability to work independently and flexibly across multiple operational areas.
22. Very good digital organization skills; strong skills in SharePoint, OneDrive, and MS Office Package (including Excel).
23. Proficient and pleasant interpersonal and communication skills; service‑oriented mindset.
24. Fluent in German and English.
25. Valid EU Class B driver’s license.
