Executive Support Manager
About the Role:
The role holder provides essential support to the General Manager Benelux with day-to-day operations of the Luxembourg office.
This role is crucial in ensuring the smooth execution of identified priorities and daily efficiencies, allowing the GM to focus on key initiatives and business strategies.
The role holder works closely with the GM to deliver critical support for the Luxembourg office, acting as a trusted advisor to inform well-prepared decisions.
Main Responsibilities:
Meeting Management:
* Scheduling and organizing meetings including preparation and follow-up.
* Preparing meetings and agendas.
* Participating and producing minutes/action plans.
* Following up on action items and tracking implementation of resolutions.
Operational Governance:
* Responsible for monitoring adherence to relevant rules and internal guidelines.
* Providing guidance on corporate governance matters and best practices.
* Assisting in developing and implementing company policies and procedures.
* Coordinating Business Continuity Planning activities across functions.
* Maintaining and updating company records, including shareholder registers and share transfers.
* Coordinating procurement activities across functions.
* Supporting due diligence on suppliers and bank mandate updates.
Partner and World Firm Issues:
* Supporting the GM in drafting guidance for new Partners and assisting with partner retirements.
* Providing information upon request to facilitate Partner issue communication.
* Documenting and implementing amendments to the Luxembourg Partnership Agreement as needed.
* Preparing draft contracts and correspondence regarding partner entry and departure.
* Communicating with responsible parties in London and supporting international regulatory procedures.
Strategy and Business Planning:
* Collaborating with departments to supply information and ensure timely execution of office planning and control cycle.
* Acting as liaison between the GM, board, managers, and following up on strategy implementation.
Internal Communication:
* Preparing communications including business and action plans.
* Responsible for communicating Partner meeting updates, Partner and/or OMP updates, and internal office communications.
