JOB DESCRIPTION
We are currrently looking for a Commercial & Marketing Assistant working at 50% to support the extended Commercial Team (Commercial, Network Development, Administration, and Marketing) for the areas of Germany and Austria. The office is based in Erkrath, Germany.
All operational tasks and everything related to the maintenance of the German Office are handled by the Commercial Assistant, who reports directly to the International Retail Operations Manager.
This role is a shared role and is based at 50% / 20h per week, spread over 4 work days, and is a hybrid role, meaning work from home and work from office is possible.
YOU’LL HAVE THE OPPORTUNITY TO:
1. Operate independently and pro-actively to resolve routine or day-to-day requests
2. Provide support by managing the incoming mail, phone calls, and directing requests to the appropriate people in the organization for resolution or feedback
3. First point of contact for local team in alliance with Payroll (Sick days, company car matters, Jobbike, etc.)
4. Handle all administrative tasks related to German authorities' requirements
5. Provide administrative support to the management team of BRP Germany by doing the pre-accounting of all incoming invoices, tracking the company cars, handle requests of German authorities and record management. Keep track of all upcoming costs, invoices and possible savings for all Commercial & Marketing related cost centers
6. Coordinate and organize travel arrangements for visitors, in line with established procedures, and coordinate the organization of occasional events for staff and participants
7. Responsible for office management: coordinate with facility manager, order office supplies, ensure intact office equipment & kitchen requirements and follow-up of the associated budgets. Ensuring at all times that the office is well stocked and kept neat
8. Manage administrative projects from start to finish under the guidance of the management team
9. Evaluate office & administrative processes and proactively propose and subsequently implement improvements in collaboration with other team members
10. Manage, execute, and send out the Weekly Newsletter on Thursday to dealers. This includes the collaboration with the dealer communications team.
11. Constant alignment with the holder of the shared position (also 20h), act as back-up for each other when on vacation or sick, align on office presence (all work days must be covered with office presence)
YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:
12. Bachelor's Degree/Kaufmännische Ausbildung or similar
13. 2 to 10 years of experience in a commercial/finance office environment
14. Excellent writting skills
15. Fluency in German and English. French would be an asset
16. Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint)
17. SAP knowledge is a plus
