Your responsibilities:
1. Provide administrative and organizational support, including file management, follow‑ups, database maintenance, coordination of holiday coverage, and management of CFO‑related SharePoint databases.
2. Manage complex calendars, priorities, appointments, and deadlines for three department heads.
3. Coordinate executive travel, including planning, bookings, and travel expense reconciliation.
4. Prepare documents and presentations in English and German; support internal and external meetings by organizing rooms, handling logistics, and capturing accurate meeting minutes.
5. Participate in projects with a strong PMO focus, track progress and success metrics, and prepare professional presentations and status updates for steering committees and leadership meetings.
6. Organize and manage department events, including budgeting, vendor coordination, and cost reconciliation.
7. Support financial administration tasks such as procurement processes, invoice management in SAP, maintaining organizational charts, and assisting with annual accounts.
8. Handle administrative responsibilities related to onboarding/offboarding and support legal‑related processes (e.g., document signatures and coordination with notaries).
9. Support digital process improvements within the CFO department and contribute to system optimization initiatives.
Your qualifications:
10. Successful completion of training as a (foreign language) secretary, business studies or equivalent commercial education
11. 5+ years of experience in a secretarial or executive‑support role.
12. Excellent written and verbal communication skills in German and very good proficiency in English
13. Proficient in PC applications (Word, Excel, PowerPoint), common databases (such as SharePoint) and in SAP
14. Systematic, structured, and meticulous work approach
15. Professional communication skills with high service orientation.
16. Ability to work independently, prioritize multiple tasks, and adapt to changing situations.
