Office Management • Responsible for the daily operation and maintenance of the German subsidiary's office, ensuring a clean and organized office environment. • Manage service providers, including property management, cleaning, IT, maintenance, and security services. • Take charge of the procurement and inventory management of office supplies (such as stationery, coffee machine consumables, drinking water, etc.). • Provide support for courier receiving and dispatching, visitor reception, training, and meeting arrangements. • Coordinate office cleaning, meeting preparation, client visits, and reception work related to training. • Manage the receiving and delivery of company correspondence, especially the forwarding of important letters from government authorities. 2. Compliance and Safety • Ensure the office complies with relevant German regulations, including the Workplace Ordinance (ArbStättV) and the Occupational Health and Safety Act (ArbSchG). • Assist in organizing risk assessments (Gefährdungsbeurteilung) and implementing corrective measures. • Be responsible for the inspection and maintenance of facilities such as fire extinguishers, first-aid kits, and emergency exits. • Coordinate fire drills and first-aid training, and act as a fire warden (Brandschutzhelfer) or first aider (Ersthelfer) when necessary. • Manage and maintain compliance documents, inspection reports, and supplier contracts. 3. Company Vehicle Management • Handle the procurement, leasing, registration, insurance, taxation, TÜV/HU inspection, and maintenance of company vehicles. • Manage vehicle usage and mileage records to ensure compliance with the company's vehicle usage policy. • Process accident reports, insurance claims, and maintenance arrangements, and communicate with dealers, leasing companies, and insurance companies. • Assist in the vehicle handover process for new and departing employees to ensure standardized procedures. • Monitor and analyze costs, and propose optimization solutions (e.g., electric vehicles vs. fuel vehicles, leasing vs. purchasing). 4. Asset Management (IT and Office Assets) • Manage the company's office assets, including employees' computers, mobile phones, monitors, and other office equipment. • Establish and maintain an asset inventory to ensure the integrity of asset distribution, recovery, and recording. • Coordinate the procurement, allocation, maintenance, and update of equipment to meet employees' normal office needs. • Ensure asset usage complies with the company's policies and maintain close cooperation with the IT department. 5. HR Affairs Support and Employee Relations Management • Assist the HR department in employee file management to ensure the secure and standardized storage of documents. • Act as the local support role for HR, responsible for daily communication and liaison with government authorities such as the labor office (Arbeitsamt) and insurance institutions. • Coordinate and manage local service providers and institutions related to HR (e.g., recruitment companies, training institutions, social security, and health insurance institutions). • Undertake daily employee care work, covering all employees working in Germany (including those at the Ratingen warehouse), such as attendance management, onboarding and offboarding procedures, employee communication and support, and basic labor contract management. • Pay attention to employees' needs, promote a positive working atmosphere, and assist in resolving basic work and life-related issues. • Ensure the smooth and compliant transmission and communication of HR-related affairs and official correspondence. Requirements Your background and skills: Bachelor or above technical degrees, preferably in electrical engineering, renewable energy, photovoltaic engineering, or similar disciplines. Fluent in German and business fluent in English.
