The Operational Assistant is a vital role that ensures seamless day-to-day operations within the organization.
Key Responsibilities
* Administrative Support: Assist with coordinating meetings, events, and booking conference rooms and refreshments. Ensure visitor access as required.
* Document Management: Maintain accurate and up-to-date documentation, ensuring an organized filing system.
* Circle Administration: Create new Circle clubs, manage membership requests, and foster ongoing relationships with existing clubs. Monitor Circle membership statistics.
* Committee Support: Provide administrative assistance for Committee meetings, Annual General Meetings, and tasks for the Circle Executive Committee.
* Event Coordination: Assist in organizing specific events, such as Circle Open Day and Arts Exhibitions.
* Business Continuity: Ensure backup support for the Senior Circle Administrator and Operational Assistant during their absence.
Required Skills and Qualifications
* Secondary level education or equivalent, complemented by a 2-year certification in a relevant field (e.g., secretarial studies, business administration).
* At least 3 years' experience in an administrative support role.
* Ability to work independently with limited supervision and serve as a back-up to the Circle Administrator and Operational Assistant.
* Proactive and able to take initiative.
* Advanced knowledge of office tools, including Excel, Word, PowerPoint, and Outlook.
* Strong organizational and planning skills.
* Excellent interpersonal skills.
