Description SUMMARY: The Human Resources & Office Coordinator supports the Human Resources department by functioning as the first point of contact for HR-related queries at our Hamburg, Germany location and other sites in Europe and Asia. The Human Resources Coordinator will perform administrative duties such as maintaining personnel records, conducting new hire orientation, and recruitment support. In addition to the HR relevant duties, the HR Coordinator will support the GmbH Managing director on administrative tasks and support as assigned. The position requires a great degree of discretion of confidential documents/information, planning, flexibility, and organization. This role will facilitate positive contact and communication between customers, vendors, and employees. DUTIES & RESPONSIBILITIES: Responsibilities include, but are not limited to: HR Coordination & Employee Lifecycle Conducts screening, interviewing, and testing of job candidates. Supporting the administrative part of the new hire process (screening, contracts, updating of HR systems). Maintains human resources records by tracking new hires, transfers, terminations, changes in job levels, merit increases, and time-off. Orients new employees by providing new-hire packets, company policies, payroll and benefits information. Answer employee queries about HR-related issues. Assist with performance management procedures. Assist with all internal and external HR related inquiries or requests. Generating reports on general HR activity. Assists with internal employee relations investigations in the direction of the HR Leader. Office Operations & Facilities Manages office operations, including facilities, equipment and inventory of supplies. Identifies, selects and manages local vendors for office services and supplies. Organizes company celebrations, employee appreciation events and manages employee engagement activities. Maintains security by following procedures; monitoring logbook; issuing visitor badges, etc. Sorts incoming mail and delivers to appropriate department or individual, processes outgoing mail. Administrative & Executive Support Provides clerical and administrative support to management. Including coordinating general office operations and providing administrative support to senior leadership. Other duties as assigned. Qualifications MINIMUM REQUIREMENTS: High school diploma (Mittlere Reife) or equivalent 2 years of Administrative Experience Excellent organizational and time management skills with proven ability to meet deadlines Computer literacy with Microsoft Office Suite Strong written and verbal communication skills Ability to maintain confidential information Bilingual in German and English PREFERRED RQUIREMENTS: Bachelor’s degree in human resources or related field and/or a Human Resources certification 3 years’ experience in Human Resources Proven work experience as an HR Coordinator or relevant role Experience with human resources information systems (HRIS) and related HR technologies
